The Birthday Rewards feature allows you to automatically celebrate your clients' special day by offering them a bonus or incentive on their birthday, during their birthday week, or throughout their birthday month. This automated process helps build strong customer relationships by making clients feel valued on a personal level.
For example, you can configure the system to give a client a 50% discount automatically during their birthday week on their next visit.
1. Eligibility: Which Cards Can Receive Birthday Rewards?
Birthday Rewards can be applied to any published card design, provided that the card design has been configured to collect birthday information from the client.
- Requirement: The published card design must have the Birthday input field enabled.
- Availability: Once the birthday field is enabled for a specific card, all clients holding that card type become eligible for the birthday rewards you configure for that card.
2. How to Configure Birthday Rewards
Birthday Rewards are highly customizable. You can set different reward strategies for different card types and choose exactly when the reward is triggered.
- Navigate to the main menu and select Business.
- Click on Birthday Rewards.
- On this page, you will see a list of your existing birthday reward rules. From here, you can:
- Create a new birthday reward rule.
- Edit an existing rule.
- Delete a rule you no longer use.
Creating/Editing a Birthday Reward Rule
On the Birthday Reward Edit page, you will need to configure the following details:
- Reward Description: Enter a clear description of what the customer receives (e.g., "A cup of coffee," "50% discount," "Free dessert").
- Number of Rewards: Enter the quantity of items the customer receives. This field is set to
1 by default.
- When to apply: Select the trigger period for this specific reward. You can choose one of the following three options:
- Reward on birthday: The reward is available only on the exact date of the client's birthday.
- Reward during birthday week: The reward is available during the natural week of the birthday, starting on Monday and ending on Sunday of that week.
- Reward during birthday month: The reward is available for the entire calendar month of the client's birthday.
- Apply to: Select which specific published card designs this reward rule applies to.
Note: This setup allows you to define different birthday reward strategies for different card types. For example, a VIP card might receive a reward during their birthday month, while a standard card receives a reward only on the exact day.
3. Enabling Birthday Input for a Card Design
Before the system can recognize a client's birthday, you must ensure your card design asks for this information.
To enable the birthday field for a specific card:
- Go to Business -> Cards.
- Find the card design you want to modify and click "Modify".
- Scroll down and expand the "More Options" section.
- Tick the checkbox labeled "Birthday".
- Save your changes.
Important Notes on Client Birthdays:
- Input: When a client receives this card, they will be required to input their birthday during the sign-up process.
- Client Editing: The client can change their birthday themselves within 24 hours of first entering it. After 24 hours, the field is locked for the client.
- Merchant Editing: As a merchant, you can modify a client's birthday at any time upon their request.
4. How Birthday Rewards are Granted to a Client
Unlike other reward types, Birthday Rewards are triggered automatically by the system when a client checks in.
Follow these steps to process the reward:
- Scan the Client's Card: Use your scanner or manually enter the card details to bring up the customer's profile and navigate to the "Stamp and Reward" page.
- Automatic System Check: The system immediately checks two things:
- Does the card type have a Birthday Reward rule configured?
- Does the current date fall within the reward period (birthday, week, or month) compared to the client's stored birthday?
- Pop-up Confirmation: If both conditions are met, a Birthday Reward window will pop up automatically on the screen for the merchant staff to see.
- Confirm the Grant: Review the reward details and click confirm to grant the birthday reward to the client.
What Happens After Confirmation?
Once you confirm the grant:
- The birthday reward is immediately attached to the client's card.
- The transaction is recorded in the report.
- The client is now marked as having received their birthday reward for the current year.
Important Note on Frequency:
A card is eligible for a birthday reward only once per year. After the reward is granted, the system will not trigger another pop-up for that client until their next birthday.
